AI for contractors and home-service businesses
The AI tools are already here. We put them to work on your jobs.
Every contractor has heard about AI. Very few have it answering the phone, chasing estimates and sending invoices. We train your team on the tools, and we get those tools built for your shop. That last mile — the gap between the AI tools that exist and actually getting them working inside a real contracting business — is the part RivetFlo closes.
| Before | After |
|---|---|
| You finish a service call, open an AI app, paste in what happened, and ask it to write tech notes. | The call ends. The tech notes are already written. It asks: “Send to the customer, or schedule the follow-up?” |
| An estimate went out last Tuesday. Nobody's followed up. You mean to. | The estimate follow-up is written and waiting for your OK. One tap and it goes. |
| Your foreman texts you “done for the day” at 6 PM, and you piece the rest together tomorrow. | The end-of-day report shows up on its own: what got done, what's left, what's needed for tomorrow. |
| A finished job sits without an invoice because the office never heard it wrapped up. | The job closes, the invoice is ready, and you get a nudge: “Send it now?” |
| You miss a call while you're on a roof, and they call the next shop. | An AI receptionist answers or texts them back right away, so you keep the job without paying for an answering service. |
Same tools. The difference is they do it without being asked.
AI that works in passing
You don't have time to sit at a desk and talk to a chatbot. You're on the road, on a roof, or between two jobs across town.
So the AI should work the same way you do: in passing. It catches what happened, gets the next thing ready, and waits for your yes.
Why RivetFlo
The gap isn't the tools. It's getting them into your day.
The tools already exist.
You don't need to wait for something new. The AI tools for contractors that are out there today can already answer, write, remind and follow up.
Nobody set them up for your shop.
A tool on a shelf doesn't do anything. It has to know your jobs, your crew and how your office runs.
That's what we do.
We take the tools that already exist and get them doing real work on the jobs your crew and office handle every day.
It's how you stand out.
When customers call the next guy, the one who calls back first usually gets the job. With AI handling the busywork, that's you.
Start with what your team already does
Start with the work that's already eating your week.
Whether you run an HVAC, plumbing, electrical, garage door or water treatment business, we don't ask you to change how you run it. We start with the jobs that already take up your time and make them easier.
Answering the phone.
After hours, weekends, and when you're slammed, every call gets answered, sorted, and booked or handed to you.
Estimates that go quiet.
Follow-up texts go out on time, so more estimates turn into jobs.
End-of-day reports.
Your foreman talks for a minute on the drive home. You get a clean report and know what's happening on every job.
Invoices that never went out.
Finished work gets billed, not forgotten.
Google reviews.
After a good job, the customer gets a quick ask. You get more 5-star Google reviews without chasing anybody.
Calls, texts and web forms in one place.
Nothing slips through because it came in the “wrong” way.
How it works
“I don't want to learn another thing.” Good. You won't have to.
That's the first thing most owners tell us. Fair enough. You already have enough apps. Here's how we do it instead:
We show you.
We look at how your shop actually runs and point out where AI can help first.
We set it up with you.
Using the tools you already pay for when we can. We don't drop a login on you and leave.
We do it with you.
We work through real jobs together and train your team until it feels normal.
We stick around.
When something changes, or you want it doing more, we're still here.
What you walk away with after the first session: a short, plain list of what to hand off first, what it'll take, and what stays with your people.
Hear it
Your AI team, talking through a regular day.
Pick a moment from the shop. Tap play. You’ll hear a sample conversation and watch it show up in the window. Nothing here is sent for real, and this is not tied to any one app.
Voice sample being prepared. The chat demo is ready.
The roadmap
From “where do I start?” to AI doing the work.
You're not buying hours. You're getting a map, and we walk it with you, one step at a time.
[SETUP SESSION NAME]: $950
A short 2–3 hour session. We come in, introduce the platform, get you set up, and show you how to use it. Then we offer the rest.
Assessment: $1,950
We learn how your shop really runs: your people, what you sell, how you bill, and the software you use. You get a written plan that covers what to set up, in what order, and why.
Setup and training: $1,997 one-time for 2 people, plus $495 for each extra person
We set up your AI helpers and connect them to the tools you already use. We hand you a simple how-to and train your team until they're confident. Then we test it on real jobs for 30 days, measure what it saves, and put the repeat work on autopilot.
Growth: monthly check-ins, $1,100/mo
We come back every month to see what's working, fix what isn't, and tell you what's new before it hits your competitors.
“I don't want to learn another thing.”
Most of us put more effort into getting out of work than doing it. That's just human. We flip that around. AI takes the jobs you keep putting off, and you spend a little of that dodge-the-work energy learning to point it at them. Mess with it a bit. Once it's taking work off your plate, it stops feeling like one more thing to learn.
“Do I have to switch software?”
No. We connect to what you already use. If there's no built-in connection, we can usually have the AI work it through the browser the same way your office does. There's very little we can't hook into.

Founder
Keaton Bruckelmyer
Built by someone who’s done the work.
Keaton started in dirt work as a laborer, then ran equipment. Later he worked in the family business, running estimating, management, bookkeeping and everything else. That’s where he learned the processes he now applies AI to, and how much of the day goes to work nobody wants to do.
He started automating that work himself: materials, accounting, paperwork. Then he did the same thing full-time for another company. Along the way, he saw the big gap between the AI tools anyone can buy and actually getting them to do real work inside a business. That’s the last mile, and it’s the part RivetFlo does.
Keaton runs RivetFlo with co-founder Taryl Massie. We started by building AI that answers calls, texts past customers and books jobs for shops like Design Heating, AWT, Lotus Electric and Riser. Now we also set it up with owners and train their teams, so the AI keeps working after we leave.
Questions
Questions owners ask
[Bracketed] answers are pending Keaton and are not final.
How does an AI answering service work?
When a call comes in and nobody can grab it, the AI picks up, talks to the caller like your office would, takes down what they need, and sends it to the right person. If it's a real emergency, it goes to your on-call tech.
How much does an AI answering service cost?
It depends on your call volume and what you want it handling. We'll walk through it in your AI Roadmap Session. Pending: [Pricing language: pending Keaton.]
How much does an after-hours answering service cost?
Same answer: it depends on how many calls come in after hours and what should happen with them. We'll lay it out plainly in your session. Pending: [Pricing language: pending Keaton.]
What's the best answering service for an HVAC company?
The one that actually knows your business: your service area, your hours, and which calls can't wait. That's why we set it up with you instead of handing you something off the shelf.
Will it know a real emergency from a price shopper?
That's part of what we set up together. You decide what counts as an emergency, and those calls go straight to your on-call tech. Pending: [The AI asks what's going on first. Real emergencies go straight to your on-call person, set up the way your shop wants it.]
Will it follow up on my estimates automatically?
Yes, that's one of the first things most shops hand off. You choose whether follow-ups go out on their own or wait for your OK.
How do I get more Google reviews for my business?
Ask every happy customer, right after the job, every time. The AI makes sure that ask actually goes out.
Can I keep my business number?
Pending: [Yes, you keep your number. Calls forward from your own line.]
Do I have to switch software?
Pending: [We work with Housecall Pro today. Using something else? Ask us.]
Find out what AI should take off your plate first.
The AI Roadmap Session is a straight conversation about your business. Not a sales pitch, and not a tech lesson. We'll look at where your time goes and show you what can start handling it.
